The problem

You're a strategist, not a human cron job

Most paid-media managers I meet are drowning in tasks a computer would do faster and with fewer typos: checking budgets, pausing tired ads, pulling reports, copying leads from one tool to another, and refreshing dashboards like they're checking cricket scores.

Meanwhile, the work that actually moves results (strategy, offers, creative, landing pages, testing) gets whatever energy is left after lunch. That's backwards.

Automation flips it. It doesn't replace thinking; it replaces clicking. The ad platforms already use machine learning for bidding and delivery. Your job is to feed those systems clean data, put guardrails around them, and automate the boring bits around the edges.

Fair warningAutomation is a multiplier. Point it at a good strategy and it scales it. Point it at a bad one and it fails faster, at scale, while you're at dinner.

The framework

The automation stack, layer by layer

Think of it like a building. Nobody puts the rooftop restaurant in before the foundation. Every tool in this post fits into one of five layers, and the bottom one holds everything else up.

  1. 05

    Creative & copy

Variants, resizes and copy drafts at speed

    Canva · AI assistants
  2. 04

    Reporting & alerts

Dashboards that update themselves; alerts when things break

    Supermetrics · Looker Studio
  3. 03

    Workflow glue

Leads, data and notifications moving between tools

    Zapier · Make
  4. 02

    Rules, scripts & guardrails

If-this-then-that logic that watches spend 24/7

Native rules · Scripts · Bïrch · Optmyzr
  5. 01

    Platform AI bidding & delivery

Where the machine decides who sees what, at what bid

    Smart Bidding · PMax · Advantage+
  6. 00

    Tracking foundation

Clean conversion data. Without it, every layer above is guessing.

    GA4 · GTM · Conversions API
Build from the bottom up. Skipping layer 00 is how automation goes rogue.

The toolkit

12 tools worth knowing (and how each one can bite you)

A mix of free native tools and paid platforms. Filter by what you need. Every tool comes with a "watch out," because every tool deserves a little suspicion.

Showing 12 of 12 tools

01 · BiddingFree

Google Smart Bidding & Performance Max

Target CPA, Target ROAS and Maximise Conversion Value set bids for every auction. PMax extends that across Search, YouTube, Display, Discover, Gmail and Maps from one campaign.

Use it forScaling conversions once you have steady, accurate conversion data.

Watch outIt optimises toward whatever you call a conversion. Call a page view a conversion and it'll proudly deliver page views.

02 · BiddingFree

Meta Advantage+

Meta's AI suite for audiences, placements, budgets and creative. Advantage+ sales campaigns let the system find buyers with minimal manual targeting.

Use it forProspecting and scaling e-commerce on Facebook and Instagram.

Watch outIt loves broad audiences and hates boring creative. Feed it variety, and pair it with the Conversions API.

03 · RulesFree

Google Ads automated rules & scripts

Rules handle simple if-then actions on a schedule. Scripts (JavaScript) do the clever stuff: budget pacing, anomaly alerts, broken-URL checks, n-gram reports, running as often as hourly.

Use it forGuardrails and alerts that never take a day off.

Watch outOne typo in a script can pause half your account at 3am. Always preview first.

04 · RulesFree

Meta automated rules

Built into Ads Manager: pause, scale, adjust budgets or just notify you when metrics cross thresholds you define.

Use it forPausing ad sets with runaway CPA, catching creative fatigue via frequency.

Watch outToo-tight rules make ad sets yo-yo and keep resetting learning. Give them data before judging.

05 · Bulk opsFree

Google Ads Editor

A free desktop app for building and editing campaigns in bulk, offline. Find-and-replace across thousands of ads in seconds.

Use it forLaunching large structures, mass copy updates, URL changes.

Watch outBulk power means bulk mistakes. Download recent changes before you post.

06 · RulesPaid

Bïrch (formerly Revealbot)

Advanced rule automation across Meta, Google, TikTok and Snapchat, with more conditions than native rules, bulk ad launching and Slack reporting.

Use it forMulti-platform rules and smarter budget scaling for growing accounts.

Watch outTwo automations fighting each other (yours and the platform's) is not "AI synergy." Pick one boss per decision.

07 · PPC suitePaid

Optmyzr

A PPC management platform best known for Google and Microsoft Ads: account audits, budget pacing, rule engine, one-click optimisations and alerts.

Use it forAgencies or in-house teams managing many search accounts.

Watch outOne-click optimisations still deserve a two-second human glance.

08 · ReportingPaid

Supermetrics

Pulls data from Google Ads, Meta, GA4, LinkedIn, TikTok and well over a hundred other sources into Looker Studio, Sheets, Excel or BigQuery, on a schedule.

Use it forKilling the Monday-morning CSV ritual for good.

Watch outAutomating a report nobody reads just makes an unread report faster.

09 · ReportingFree

Looker Studio

Google's free dashboarding tool. Native connectors for Google Ads and GA4; pair with a connector for Meta and others.

Use it forOne live dashboard clients and bosses can open themselves.

Watch out27 charts on one page is not a dashboard. It's a ransom note.

10 · WorkflowFreemium

Zapier & Make

No-code glue between thousands of apps. New lead from a Meta lead form → CRM → instant WhatsApp, Slack or email alert to sales. Plus offline-conversion uploads back to ad platforms.

Use it forSpeed-to-lead and keeping your tools talking.

Watch outA broken zap fails silently. Add an error alert to the alerts.

11 · TrackingFreemium

Conversions API & server-side GTM

Send conversion events from your server, not just the browser, so ad blockers and browser restrictions lose less of your data. Hosting services like Stape make server-side GTM easier.

Use it forFeeding the bidding algorithms more complete signal.

Watch outSend events from browser and server without de-duplication and you'll count every sale twice.

12 · CreativeFreemium

Canva & AI assistants

Canva's brand kits, resize and bulk create spin up variants fast. AI assistants like Claude or ChatGPT draft headline variants, summarise search-term reports and even write Google Ads scripts.

Use it forKeeping the creative testing engine fed.

Watch outAI writes fast, not always right. Fact-check claims and keep the brand voice human.

Pick your stack

What to use at each stage (so you don't buy a rocket for a bicycle)

You don't need every tool on day one. Start with what's free and native, then add paid tools only when the manual work genuinely starts costing more than the subscription.

Recommended stack by stage
StageTypical monthly ad spendStackAutomate first
StarterUnder $1KGA4 + GTM, Smart Bidding / Advantage+, native rules, Looker Studio, CanvaSpend alerts and a weekly dashboard
Growing$1K – $10K+ Google Ads scripts, Conversions API, Supermetrics, Zapier or MakeLead routing and cross-platform reporting
Scaling$10K++ Bïrch or Optmyzr, server-side GTM, BigQuery, offline conversion importsBudget pacing, scaling rules, value-based bidding

Spend bands are a rule of thumb from my own work, not a law of physics. Account complexity matters as much as budget.

Steal these

Six automations I'd set up before lunch

Adjust the numbers to your account. The logic is what matters.

  • The tracking smoke alarm. Alert me if an account spends money but records zero conversions for 24 hours. Nine times out of ten, the tracking broke, not the market.
  • The overspend brake. Alert (or pause) when daily spend passes 120% of the planned budget. Because "the algorithm got excited" is not a line item finance accepts.
  • The CPA bouncer. Pause an ad set when CPA is above 1.5× target after it has spent at least 2× the target CPA. Enough data to judge fairly, not so much that it burns the budget.
  • The fatigue detector. Flag prospecting ads when frequency climbs past 3–4 and CTR is falling. Your audience has seen this ad more times than their own mum this week.
  • The gentle scaler. Raise budget 15–20% on ad sets beating ROAS target for three straight days. Small steps keep learning stable. Doubling budgets overnight is how winners become losers.
  • The speed-to-lead relay. Push every new lead to the CRM and ping sales on WhatsApp or Slack instantly. Leads go cold faster than chai on a winter morning.

Proof, not theory

Automation with guardrails, in the real world

For Shohoz, Bangladesh's go-to travel-ticketing platform, the system ran on exactly this stack logic: enhanced conversion tracking through GA4 and GTM at the foundation, Target ROAS automated bidding on top, Performance Max and Dynamic Remarketing for reach, and daily checks with weekly optimisation by a human who kept the machine honest.

Golden rules

Before you automate anything, remember this

Fix tracking first

Automation amplifies your data. Bad data, amplified, is just a louder mistake.

Guardrails before gas

Set alerts and caps before you set scaling rules. Brakes first, then the accelerator.

One boss per decision

Don't let a manual rule fight Smart Bidding over the same bid. Somebody loses, usually you.

Humans own the "why"

Offers, creative, positioning and strategy stay with people. Tools handle the "how often."

The bottom line

The best marketers aren't working harder. Their tools are.

The goal of automation isn't to remove you from your campaigns. It's to remove you from the parts that don't need you, so you can spend your hours on the parts that do. Start with the free native tools, build on a clean tracking foundation, add guardrails, and only then bring in the paid platforms.
